To set up your All-In-One, follow the instructions on the Lexmark 4200 Series Setup sheet to install the hardware and software. For additional setup instructions, see Setting up the All-In-One. For troubleshooting help, see Setup troubleshooting.

These items are in the box with your All-In-One.


Understanding the All-In-One parts

The Lexmark 4200 Series All-In-One is a color scanner, color printer, color copier, and color fax machine. This guide shows you how to use the All-In-One features.

Note: You do not have to attach your All-In-One to your computer to make copies or send faxes.

The Lexmark 4200 Series is available in two models. One model has a handset, and the other does not. The following table describes each part.

Setting up the All-In-One

The setup sheet that came with your All-In-One provides basic setup instructions. You can also connect your All-In-One with equipment, such as a telephone, an answering machine, or a computer modem.

Setup basics

Connect a telephone line from the wall jack connector on the All-In-One to the telephone wall jack.

Connecting to a telephone

If your All-In-One does not have a handset, you can connect a telephone to your All-In-One to use the fax line as a normal telephone line.

  1. Connect a telephone line from the wall jack connector on the All-In-One to telephone wall jack.
  2. Connect a telephone line from the telephone/answering machine connector on the All-In-One to the telephone.

  1. Connect a telephone line from the wall jack connector on the All-In-One to the telephone wall jack.
  2. Connect a telephone line from the telephone/answering machine connector on the All-In-One to the answering machine.

All-In-One without a handset

  1. Connect a telephone line from the wall jack connector on the All-In-One to telephone wall jack.
  2. Connect a telephone line from the telephone/answering machine connector on the All-In-One to the answering machine.
  3. Connect a telephone line from the answering machine to the telephone.

Connecting to a computer modem

All-In-One with a handset

  1. Connect a telephone line from the wall jack connector on the All-In-One to the telephone wall jack.
  2. Connect a telephone line from the telephone/answering machine connector on the All-In-One to the computer modem.

All-In-One without a handset

  1. Connect a telephone line from the wall jack connector on the All-In-One to telephone wall jack.
  2. Connect a telephone line from the telephone/answering machine connector on the All-In-One to the computer modem.
  3. Connect a telephone line from the computer modem to the telephone.

Connecting to unsupported lines

The fax modem in your All-In-One is an analog device and cannot be used on an ISDN, DSL, or PBX digital phone service. However, you can connect certain devices to your All-In-One that let you use the fax function in addition to these digital phone services.


Using the control panel

The control panel buttons help you scan, copy, fax, and customize documents. When Power is lit, the All-In-One is on. You can scan, copy, fax, and select or change settings using several of the buttons.

Power

Turn your All-In-One on or off.

Note:  To enter the state of lowest power consumption, press and hold the Power button for at least five seconds.

Fax

Enter fax mode. The All-In-One can receive a fax while in any mode.

Note:  This button is lit when the All-In-One is in fax mode.

Quality

  • Select from the following copy qualities: Quick, Normal, Better, or Best.
  • Select a fax resolution: Standard, Fine, or Superfine.
  • Select a scan resolution.

Lighter/Darker

Lighten or darken a copy or fax.

Auto Answer

Select how a fax is received.

  • Automatically

After 2 rings

After 3 rings (default)

After 5 rings

Make sure the Auto Answer light is on.

  • Manually:

When you press *9* on the external phone connected to the All-In-One.

The Auto Answer light is off.

  • Answering machine:

When an answering machine is connected to the external phone jack on the All-In-One.

The Auto Answer light is on.

Speed Dial

Use the speed dial feature while the All-In-One is in fax mode.

Note:  If you press Speed Dial when your All-In-One is in copy or scan mode, the All-In-One automatically switches to fax mode.

Redial/Pause

  • Redial the last number entered when the machine is in fax mode.
  • Insert a three-second pause in the number to be dialed.

Enter a pause only when you have already begun entering the number.

Note:  If you press Redial/Pause when your All-In-One is in copy or scan mode, the All-In-One automatically switches to fax mode.

A keypad number or symbol

  • In fax mode:

Enter fax numbers.

Get through an automated answering system.

Select letters when creating a speed dial list.

Type numbers to enter or edit the date and time shown on the All-In-One display.

  • In copy mode:

Select the number of copies you want to make.

Stop/Clear

  • Cancel a scan, print, or copy job in progress.
  • Clear a fax number or end a fax transmission and return the display to the fax default.
  • Exit a menu.
  • Clear current settings and return to default settings.

Right arrow

  • Increase a number.
  • Scroll through a list on the display.

Options

Scroll through the list of menu headings.

Black

Start a black and white copy, fax, or scan job.

Make sure the mode you want is lit.

Select

Choose the option that appears on the display.

Color

Start a color copy, fax, or scan job.

Make sure the mode you want is lit.

Left arrow

  • Decrease a number.
  • Scroll through a list on the display.

Scan

Enter scan mode (possible when the All-In-One is attached to a computer).

This button is lit when the All-In-One is in scan mode.

Copy

Enter copy mode.

This button is lit when the All-In-One is in copy mode.

Quick dial buttons

Program up to five speed dial numbers.

Entering text on the display

There are various times when you need to enter text on the display, such as when you create a speed dial list.

To enter text:

  1. Find the number button that corresponds to the letter you want to enter and press it repeatedly until the correct letter appears on the display.
  2. Press the right arrow button to move to the next character space.

Note: To enter a space between words, press the right arrow button twice.

  1. Repeat the above steps until you are finished entering text.
  2. Press Select.

Setting the date and time on the display

To set the current date and time:

  1. On the control panel, press Fax.
  2. Press Options until EDIT DATE/TIME: appears on the display.

To change the date:

  1. Press Select.
  2. Use the keypad buttons to enter the date you want your All-In-One to display.

Note: If you make an error entering the date, you can use the left arrow button to navigate to the number you entered incorrectly, and then enter your correction.

  1. Press Select.

To change the time:

  1. Press the right arrow once, and then press Select.
  2. Press 1 for 12-hour time or 2 for 24-hour time.
  3. Use the keypad buttons to enter the time you want your All-In-One to display.

Note: If you make an error entering the time, you can use the left arrow button to navigate to the number you entered incorrectly, and then enter your correction.

  1. Press Select.
  2. If you are using 12-hour time, press 1 for AM or 2 for PM.

Note: If the time is entered incorrectly, the time shown will be the default.


Using the All-In-One software

The following sections provide information on using the All-In-One software.

Using the Fax Setup Utility

Use this utility to adjust the fax send and receive settings. When you save these settings, they apply to every fax you send or receive. You can also use this utility to create and edit your speed dial list.

The following table describes the Fax Setup Utility tabs:

Send

  • Enter your name and fax number.
  • Select a maximum send speed and a print quality for outgoing faxes.
  • Choose whether to scan the entire document before dialing the number.
  • Choose whether to use error correction.
  • Select when to print a fax usage report.
  • Select when to print a fax activity report.

Receive

  • Choose whether you want to print a footer (date, time, and page number) on each page.
  • Automatically reduce an incoming fax to fit to the paper size loaded or print it on two sheets of paper.
  • Select whether you want to forward a fax or print it, and then forward it.

Connection/Dialing

  • Select the number of times you want the machine to redial and the time between those attempts if the fax cannot be sent on the first try.
  • Select the phone line format you want to use (Pulse, Touch-tone, Behind a PBX).
  • Enter a dialing prefix.
  • Choose how (manually, if fax tones are detected, or after a certain amount of rings) you want to answer incoming calls.
  • Select a distinctive ring.

Speed Dial

Add to, create, or edit the speed dial list.

Group Speed Dial

Create a group number and name, and then add phone numbers to the group.

Using the Lexmark All-In-One Center

The All-In-One Main Page

The All-In-One Main Page displays when you open the All-In-One Center. It consists of four main sections: Scan, Copy, Productivity Tools, and Preview.

The following table describes the All-In-One Main Page tabs.

Scan

  • Select a program to send the scanned image to.
  • Choose what type of image is being scanned.
  • Choose how the scan will be used.

Note:  Click See More Scan Settings to view all settings.

Copy

  • Select the quantity and color of your copies.
  • Select a quality setting for your copies.
  • Select the size of your original document.
  • Collate your copies.
  • Print the last page of your document first.
  • Lighten or darken your copies.
  • Enlarge or reduce your copies.
  • Adjust the size of the scanned area.

Note:  Click See More Copy Settings to view all settings.

Productivity Tools

Choose from a variety of creative ideas:

  • Enlarge or reduce an image.
  • Repeat an image several times on one page.
  • Print an image as a multi-page poster.
  • Print more than one page on a sheet of paper.
  • Fax an image or document.
  • E-mail an image or document.
  • Save an image on your computer.
  • Edit text found in a scanned document (OCR).
  • Modify an image with a photo editor.

Preview

  • Select a region of the preview image to scan.
  • View an image of what will be printed, scanned, or copied.

Note: For more information about the All-In-One Main Page, click the Help link near the top of the screen.

Using Print Properties

Print Properties is the software that controls the All-In-One printing function. You can change the settings in Print Properties based on the type of project you want to create. You can open Print Properties from almost any program:

  1. With your document open, click File  Print.

  2. In the Print dialog box, click Properties, Preferences, Options, or Setup (depending on your program or operating system). The Print Properties screen appears.

Note: Some programs open Print Properties differently.

The I Want To menu

The I Want To menu displays when you open Print Properties. It contains a variety of task wizards to help you select the correct print settings for your project. Close the menu for a full view of the Print Properties dialog box.

Print Properties tabs

All of the print settings are on the three main tabs of the Print Properties software: Quality/Copies, Paper Setup, and Print Layout.

Quality/Copies tab

From:

Quick Print, Normal, Better, or Best.

Multiple Copies

  • Collate Copies if you want to print more than one copy of a document. This option prints all the pages of the first copy, and then all the pages of the second copy, and so on.
  • Print Last Page First if you want to print the pages in reverse order.
  • The number of copies you want to print.

Print Color Images in Black and White to save the ink in your color cartridge.

Note:  This option is not available if a black cartridge is not installed.

Paper Setup tab

From:

Paper Size

Paper, Envelope, or Banner, and then select the size specific to your paper type. If your paper size is not listed, select Custom Size.

Orientation

Portrait or Landscape.

Print Layout tab

Normal, Banner, Mirror, N-up, Poster, or Booklet.

Duplexing

  • Two-Sided to print your document on both sides of the page.
  • Side Flip or Top Flip to set which way the pages of your finished documents turn.

Note:  If you select Side Flip, the pages of your document turn like the pages of a magazine. If you select Top Flip, the pages turn like the pages of a legal pad.

Using the Lexmark 4200 Series Photo Editor

The Photo Editor lets you adjust photo attributes (brightness, contrast, red eye reduction, and orientation) of scanned images. You can also crop an image or erase part of it.

To access the Lexmark 4200 Series Photo Editor, click Start  Programs  Lexmark 4200 Series  Lexmark Photo Editor.

Use the touch-up tools to edit your photo or image.

The Lexmark Solution Center (LSC) provides All-In-One Help and information about printer status and ink levels. There are two ways to open the LSC:
